📋 Service Requests

Streamline your workflow by effectively managing service orders from creation to completion using Fire Fill.

🚀 Overview

The Service Requests module allows you to:

  • Create new requests for fire extinguisher maintenance, inspection, or new equipment delivery.
  • Track request lifecycle through defined stages (Pending, Preparing, Delivering, Done).
  • Assign clients and equipment to specific orders.
  • Generate invoices and NFPA certificates directly from the request.

➕ Creating a Request

  1. Navigate to the Orders page.
  2. Click the New Request button (or the + icon on mobile).
  3. Select Client: Choose an existing client or quickly add a new one.
  4. Select Product/Service: Pick the relevant item (e.g., “6kg Powder Extinguisher”, “Hydrostatic Test”).
  5. Configure Details:
    • Quantity: Adjust the number of items.
    • Capacity/Type: Select specific variations (e.g., 6kg, 9kg, CO2, Powder).
    • Service Type: Define if it’s a Refill, Inspection, or New Sale.
    • Pricing: Base price is auto-filled; adjust for discounts or delivery fees.
    • Expiration Date: Set the next service due date.
  6. Set Location: (Optional) Pin the delivery/inspection location on the map for logistics tracking.
  7. Save the request. It will initially appear as Pending.

🔄 Managing Workflow

Requests move through a status pipeline. You can update the status as work progresses:

1. ⏳ Pending

The initial state when an order is received.

  • Accept: Confirm the order to move it to “Preparing”.
  • Refuse: Reject the order if it cannot be fulfilled.
  • Edit/Delete: Modify details if the client changes their mind.

2. 🛠️ Preparing

Work is in progress (e.g., technicians are refilling cylinders).

  • Deliver: If the request involves transport, move it to “Delivering”.
  • Done: If no delivery is needed (e.g., on-site service), mark it as “Done” immediately.

3. 🚚 Delivering

The item or team is en route.

  • View Map: Track the destination coordinates.
  • Done: Mark as complete once the service/delivery is finished and signed off.

4. ✅ Done

The request is closed and billed.

  • Renew: Create a renewal request for recurring services (one-click renewal).
  • Print: Generate the final invoice or compliance certificate.

♻️ Renewing Requests

For recurring services like annual NFPA inspections:

  1. Open a Done or expired request.
  2. Click the Renew button (folder icon).
  3. A new request is created with the same equipment details but updated service dates.
  4. Review and save the new request to restart the cycle.

📲 QR Codes & Identification

Each request generates a unique QR code.

  • Scan: Use the in-app Scanner to quickly pull up request details or equipment history.
  • Tagging: Print QR labels to stick on extinguishers for faster future inspections.
